Call friends, family members, their event planners & coordinators; they’ll most likely be happy to provide you with vendor recommendations.

It can be very overwhelming securing the services of 4-6 vendors at once. Start with just one vendor; then ask for recommendations – everything else will fall into place.

  1. Shop Around


Meet as many potential vendors as possible. It can’t hurt to contact all of them to further understand how they compare.

  1. Check References

Most reputable vendors will happily give you names of recent clients who have hired them. If they hesitate at all… consider someone else.

  1. Kick The Tires


Visit potential vendors’ places of business. Take note of their culture, organization and how they conduct themselves. Make sure what you see aligns with your expectations.

  1. Believe it when you see it


Make sure you’ve witnessed or experienced your vendors’ work product first hand. Make sure that the company’s execution is as good as or better than its sales pitch.

  1. Pick the right person for the Job

Be cautious about hiring someone who’s just starting out in the market: Hiring vendors with extensive experience with your specific event type will typically minimize stress and allow you to enjoy yourself during your event.

  1. Get it in writing

Make sure the agreements you sign spell out all the basics: who, what, when, where, and how. Don’t sign any agreement unless you are confident that it outlines the services that you are expecting.

  1. Read the Fine Print

Get the scoop before signing any contract. Cancellation policies, overtime rates, service charges, and additional labor costs all need to be discussed before you commit.

  1. Listen to your Heart

If a vendor gives you negative vibes, pay attention. Trust your instincts… they are probably right.
